The space between diagnosis and decision

Great care deserves
a clear conversation.

You have explained the treatment. The patient nods. Then comes, “Let me think about it.”

Sometimes the missing piece is understanding. Sometimes it is trust, cost, or timing. Your team needs a consistent way to explore the concern and support the next step.

We bring the conversation and the workflow together, so treatment plans have clear handoffs, accurate financial discussions, and follow-up that someone owns.

01

“I'm nervous.”

Make room for the patient's fears and questions before moving forward.

02

“I don't understand why.”

Connect the doctor's recommendation to the patient in language they can use.

03

“How will I pay for it?”

Explain estimates and available options with clarity and dignity.

04

“What happens next?”

Give each decision a documented status, an owner, and an agreed next step.

“Case acceptance is about helping patients choose health.”

A patient who understands the value of care is better equipped to make an informed decision. Our role is to guide, answer questions, and respect that decision.

The six-week curriculum

One focused lesson.
One practical change each week.

Short teaching, real patient scenarios, team practice, and a workflow you can use the next day.

Week 01 · Patient advocacy

Start with the concern.

Reframe case acceptance around patient understanding. Recognize fear, confusion, and financial uncertainty without making assumptions.

Your team will practice

Ask, “What is your biggest concern about moving forward?” Listen, reflect, and document the concern before responding.
Tool: Top 10 Reasons Patients Delay Treatment.

Week 02 · Trust

Build trust before the plan.

Slow the conversation down, understand what matters to the patient, and ask permission to explain the recommendation.

Your team will practice

“May I walk you through what I'm seeing and what I recommend for your long-term oral health?” Carry the patient's priority into the handoff.

Week 03 · Clarity

Explain. Relate. Recommend.

Use patient-friendly language, connect the finding to the patient's situation, and check understanding without clinical overload.

Your team will practice

Use the Explain → Relate → Recommend Framework™ and a warm clinical-to-administrative handoff.
Tool: Patient-Friendly Language Guide.

Week 04 · Confidence

Give a clear recommendation.

Communicate the doctor's judgment consistently while explaining relevant choices and respecting the patient's decision.

Your team will practice

“Based on what we found, I recommend [treatment] because [reason].” Explain appropriate timing and keep the message consistent across the team.

Week 05 · Finances

Make money easier to discuss.

Explain fees, estimated insurance benefits, and available payment pathways privately and without awkwardness.

Your team will practice

Review the estimate and the options the practice actually offers. Discuss phasing only when the doctor approves it.
Tool: Financial Conversation Scripts.

Week 06 · Follow-through

Turn hesitation into a next step.

Explore unanswered questions with empathy. Document the decision and establish patient-approved follow-up with clear ownership.

Your team will practice

“What questions can I help answer so you feel comfortable deciding?” Agree on a next step, an owner, and a date.
Tool: Treatment Hesitation Response Guide.

Bonus

The same-day treatment opportunity

Prepare your team to offer a same-day start when clinically appropriate, the schedule allows, and the patient feels ready.

The Bite-Sized Method

From scattered conversations
to a system your team can follow.

01 / Understand

Capture

Identify where patients become confused, conversations stall, or follow-up gets missed.

02 / Create structure

Organize

Establish responsibilities, handoffs, financial conversations, and follow-up procedures.

03 / Put it into practice

Train

Rehearse real patient scenarios through bite-sized lessons and weekly implementation.

04 / Refine together

Grow

Track acceptance, scheduling, and follow-through. Use what you learn to strengthen the process.

A conversation you can use

Curiosity creates
room for clarity.

The team learns what to say and how to listen. A thoughtful question can uncover what the patient still needs to understand.

From there, you can answer the concern, return clinical questions to the doctor, and agree on a next step together.

The patient
“I need to think about it.”
A supportive response
“Of course — this is an important decision. May I ask what questions I can help answer so you feel comfortable deciding?”
The next step
“What would you like to do next?”

Meet your guide

Built from real
dental experience.

Hi, I'm Mandy Madeline, founder of Bite Sized Solutions.

With more than 18 years in dentistry, I understand how much happens between a doctor's recommendation and a patient's next appointment.

My approach is practical and personalized: give your team clear expectations, help them practice the conversation, and build the systems that make follow-through consistent.

More clarity. Less chaos.

A few things to know

Questions before
we begin?

Let's make sure the system fits your team and the way your practice works.

Is this sales training?

The focus is patient advocacy: clear recommendations, informed decisions, and consistent next steps. Patients are supported when they ask questions, need more time, or choose to decline.

Is this a course or private team training?

This six-week offer is private team training with implementation support and a customized Case Acceptance Playbook. Each week combines teaching, real scenarios, and a practical workflow.

Does the doctor need to participate?

Yes. The doctor establishes clinical recommendations, approves clinical language, and helps the team maintain consistent handoffs. A designated practice lead coordinates implementation.

Do we need Trainual?

No. Trainual is not required. The playbook can support your existing training process. A full Trainual buildout or software configuration is a separate service.

How do we measure progress?

We agree on definitions and a baseline, then review communication behaviors, completed handoffs, follow-up, acceptance, and scheduling. Results depend on implementation, patient needs, and practice capacity; no specific acceptance or revenue increase is guaranteed.

What is the investment?

Connect with Mandy to discuss your team, location needs, and delivery scope. You'll review the investment and next steps before deciding whether to move forward.
